This notice explains how Baltic Kontor handles information from visits to bk.lv, enquiries, proposed instructions and ordinary business communications. Personal information in accepted surveys, P&I matters, casualties and reports is described further in our Survey & Claims Privacy Notice.
Who to contact
SIA “BALTIC KONTOR”, registration No. 50003056031, Mazā Alūksnes iela 7, Rīga, LV-1045, Latvia, operates bk.lv and receives its enquiries. For privacy questions and requests, email bkriga@bk.lv. This is our privacy contact address; it does not imply that a formal Data Protection Officer has been appointed. For a particular principal-led assignment, the principal may also be the controller or BK may act on its documented instructions.
What we use and why
- Enquiries and correspondence: your name, contact details, organisation, message and related correspondence help us respond and manage the contact. The grounds are our legitimate interest in doing so or steps requested before a contract where relevant.
- Proposed instructions: service, vessel or cargo details, location, preferred date, documents and photographs help us assess the request, communicate and decide whether to accept it. Depending on the relationship, the ground may be contractual steps or legitimate interests. Acceptance is confirmed separately.
- Website operation and protection: IP address, request time, technical and security records support delivery, fault diagnosis and abuse prevention. The ground is our legitimate interest in a secure service. The forms use session storage and Cloudflare Turnstile.
- Optional analytics: only after your choice, Google Analytics uses online identifiers and visit information to help us understand website use and contact-link clicks. Its ground is consent. See the Cookie Policy.
Form fields marked required are needed to answer or assess the request. You may contact us by other means, but without enough contact or matter information we may be unable to respond. Please avoid sending unnecessary sensitive information.
Sources, recipients and transfers
We normally obtain website enquiry information from you. We may also receive business contact details from a principal or another party to an assignment. The separate survey and claims notice explains indirect sources in those files.
Access is limited to staff and service providers who need the information. Categories may include our email, hosting, backup and protected working-storage providers; Cloudflare for form verification and private temporary uploads; Google for analytics only after consent; and the instructing principal or relevant professional and public recipients for an accepted matter. The actual provider and recipient list is reviewed by assignment.
Some principals and technology providers may receive or access information outside the European Economic Area. When GDPR transfer rules apply, the responsible controller must use an applicable Chapter V mechanism and safeguards. Please contact us about a specific transfer; we do not assume that every international principal is located in the EEA.
Retention and security
We keep information while needed for its purpose, then review it for deletion or anonymisation. For a general enquiry or proposed instruction, the criteria are the date of the last substantive contact or decision, whether a matter followed, and whether a specific dispute or obligation requires the record. An accepted file is governed by its purpose, applicable law and mandate; see the survey and claims notice. Accounting documents have separate statutory periods. Temporary website uploads are held in private intake storage and are subject to its short lifecycle, not used as the permanent survey archive.
We use restricted access and appropriate technical and organisational safeguards. No online transmission or storage is risk free.
Your rights
Depending on the circumstances, you may seek access, correction, erasure, restriction, portability or object to processing. You may withdraw analytics consent at any time through “Cookie settings” in the footer; withdrawal does not affect earlier lawful processing. We may verify identity and may have to retain specific information for a legal obligation or claim. Email bkriga@bk.lv for a request. You can complain to Latvia’s Data State Inspectorate or another competent supervisory authority.
